Traineeships are “temporary periods of work experience in a professional environment during which the trainee acquires professional skills and applies what he or she has learnt in training with a view to obtaining a diploma or certificate and facilitating professional integration“.
1. Administrative procedures
An internship lasting more than 44 working days (calculate number of working days) is necessarily gratified (4.35 € per hour of internship), with the exception of salaried students only. A mobility grant (ERASMUS+, CAMPUS-FRANCE, …) or a mission order does not replace the reward that remains due.
- For all internships EXCEPT those funded by the CNRS:
The intern welcome form is mandatory for all interns welcomed to LOCEAN’s premises, whether the internship is paid or unpaid, or whether it is funded by a source not managed by LOCEAN. The form must be completed as follows and sent to adm-support@locean.ipsl.fr before anything else and as soon as possible.
a) The supervisor completes the first box (in orange) and gives the form to the student,
b) The student completes Part 2 and sends the form to adm-support@locean.ipsl.fr with the documents listed at the bottom of page 1.
c) The internship agreement signed by the student and the supervisor is sent by the student to adm-support@locean.ipsl.fr. Ideally, this should be sent at the same time as the intern welcome form and supporting documents b).
IMPORTANT: Applications to host a trainee must be sent to adm-support@locean.ipsl.fr 5 weeks before the start of the placement. Once the internship agreement has been signed by LOCEAN management, it must be returned to the educational establishment for signature by the course leader to ensure that the subject of the internship corresponds to the educational objectives of the course. Please do your utmost to respect these deadlines.
- Special case of internships remunerated by the CNRS:
As part of its efforts to improve equal opportunities in internships, the CNRS has implemented a specific procedure:
a) Internship offers funded by the CNRS must be published for at least 21 days on the application https://emploi.cnrs.fr.
b) Recruitment will take place on https://webcontrat.cnrs.fr/canope.
c) The internship agreement signed by the student and the supervisor and supporting documents must be submitted on this platform.
In this case, the procedure via the welcome form is no longer necessary.
See the explanatory presentation (in French) given by Eric Fourlon on 10 February 2025.
2. Internship agreement
The internship agreement is issued by the student’s educational secretariat.
- For all internships EXCEPT those funded by the CNRS:
a) It must be completed in at least three copies (one copy for each signatory to the agreement) by the student and their supervisor and signed by both of them.
b) It is then sent by the student to LOCEAN for signature by the DU at adm-support@locean.ipsl.fr. Ideally, this should be sent at the same time as the intern welcome form and supporting documents. Otherwise, please keep the same ticket number as when sending the form and supporting documents. In this case, the internship agreement is sent to LOCEAN (and under no circumstances directly to the tutelle) by the student.
c) It will be returned by email to the student as soon as it has been signed by the DU, who must then have it signed by the academic supervisor at their educational institution.
d) Finally, the student must send a final copy with all signatures by email to LOCEAN at adm-support@locean.ipsl.fr, keeping the ticket number that was generated during your previous exchange.
- For internships remunerated by the CNRS:
a) It must be completed by the student and their supervisor and signed by both of them.
b) It is then uploaded along with all your supporting documents to https://webcontrat.cnrs.fr/canope. In this case, the internship agreement is sent directly to the tutelle without going through LOCEAN.
c) It will be returned after being signed by the CNRS, and the student must then have it signed by the academic supervisor at their educational institution.
d) Finally, the student must upload a final copy with all signatures.
Note: If the internship agreement is not signed by the student and the tutor, it will be returned to the student.
